What data we collect, and when
We collect only the data strictly necessary to reply to you, host you and meet our legal obligations:
- When you write to us (email, WhatsApp, the contact form on the site): name, contact and the content of your message. We process this to reply to you and — if the conversation leads to a booking — to manage it.
- When you book directly: first and last name, contacts, stay dates, number of guests, any needs (pets, children, allergies). Needed for the accommodation contract and invoicing.
- When you book via Booking.com or Airbnb: the data is collected and managed by those platforms under their own privacy policies; we receive only the information needed to host you.
- At check-in: an identity document (passport or ID card) for every guest, minors included. This is a legal obligation for all Italian accommodation (TULPS, art. 109). The data is sent to Alloggiati Web (State Police), the Comune of San Benedetto del Tronto and the Marche Region within the legal deadlines.
- Tourist tax: the amount is paid over to the Comune of San Benedetto del Tronto per regulation; it is linked to the stay data for the calculation.
- Payments: card data (if you use the future direct-booking module on the site) is handled directly by the payment provider (Stripe), which is an independent data controller. We only see the transaction outcome and the last four digits of the card.
Why we process it · the legal bases
- Performance of a contract (art. 6.1.b GDPR): to manage your booking, host you, invoice, and answer your requests before and after the stay.
- Legal obligation (art. 6.1.c GDPR): mandatory registration with Alloggiati Web, the Comune and the Region; retention of tax records for ten years (Civil Code, art. 2220); tourist tax.
- Consent (art. 6.1.a GDPR): for communications not directly about your stay — for example, if in future you wish to subscribe to a newsletter, it will always be at your explicit request.
- Legitimate interest (art. 6.1.f GDPR): to improve the site and the guest experience (see the Cookie Policy for aggregate statistics).
Who we may share your data with
Your data stays ours — we don't sell it, swap it or share it for advertising. We disclose it only when strictly necessary:
- Public Security (Alloggiati Web), Comune of San Benedetto del Tronto, Marche Region: for the guest-registration obligations.
- Our accountant: for invoicing and tax compliance. Appointed as data processor.
- Vercel Inc.: site hosting (servers in Europe — Frankfurt). Appointed as data processor.
- Booking.com / Airbnb: only for bookings made through those platforms.
- Stripe (if you use direct booking on the site, in future): payment processing.
- Google (Gmail): email management; Google Workspace terms apply.
Some of these providers (notably Vercel, Stripe, Google) also have servers outside the EU. Transfers always take place under the Standard Contractual Clauses approved by the European Commission or other adequate safeguards.
How long we keep it
- Booking and invoicing data: 10 years from the end of the stay (civil and tax obligation).
- Document data for Alloggiati Web: as required by the law in force.
- Email / WhatsApp messages that did not lead to a booking: at most 2 years, then deleted.
- Reviews and the guest diary: for as long as needed for publication and until you ask for their removal.
Your rights
At any time, you have the full right to:
- Access your data and receive a copy of what we hold (art. 15 GDPR).
- Rectify inaccurate data or update it (art. 16 GDPR).
- Erase your data, where no retention obligation prevents it (art. 17 GDPR).
- Restrict processing (art. 18 GDPR).
- Object to processing based on legitimate interest (art. 21 GDPR).
- Portability: receive your data in a readable format, transferable to another controller (art. 20 GDPR).
- Withdraw consent at any time, without affecting the lawfulness of prior processing (art. 7 GDPR).
- Complain to the Italian Data Protection Authority (www.gpdp.it) if you believe the processing breaches the Regulation.
To exercise any of these rights, write to tanadeidalmatini@gmail.com: a reply within 30 days, usually much sooner.
Security
We take reasonable technical and organisational measures to protect your data: access limited to authorised people only, strong passwords, minimal paper records (identity documents are not photocopied and filed: after upload to Alloggiati Web the digital copy is deleted). The systems we use (Gmail, Booking, Vercel, Stripe) follow their own international-standard security.
Cookie
The site uses only strictly necessary technical cookies. We have no advertising tracking, profiling or analytics tools requiring consent. Full details are in the Cookie Policy.
Changes to this policy
If we change anything significant (for example, adding a new tool to manage bookings), we'll update this page and flag the change in the date at the top. For significant changes that directly affect you, we'll notify you by email.
